TERMS & CONDITIONS - TRAVEL BIKE RENTAL

Biclas & Triclas, BikTur and Bike to Santiago are brands of Tricla, Lda., dedicated to renting bicycles and cycling accessories.

1. PURPOSE

These Terms & Conditions set out the conditions and civil liabilities applicable to the customer/lessee (“Customer”) who enters into a fixed-term rental agreement with Tricla, Lda. (“Tricla”) for the temporary use of bicycles and related accessories.

2. GENERAL CONDITIONS

2.1 Customer responsibilities

• The Customer is responsible for any loss, theft or damage to bicycles and accessories during the rental period, except for normal wear and tear.

• The Customer undertakes to comply with traffic rules and road safety regulations.

• For overnight rentals, the Customer must store the bicycle in a safe place and, whenever possible, indoors, keeping it locked when not in use.

2.2 Rental conditions

• Presentation of a valid ID document is mandatory.

• All bicycles are supplied with a lock. At delivery, Tricla will explain how to use it correctly.

• Helmet use is strongly recommended and mandatory for children up to 12 years old, without prejudice to other legal requirements in the country/region where the Customer rides.

3. BOOKINGS, PAYMENTS, DEPOSIT AND CANCELLATIONS

3.1 Booking channels

Bookings can be made via:

• Online quotation/booking system

• Email, form or telephone

3.2 Booking process

• The Customer must submit the “Ask Availability” form (accurate and up-to-date information).

• Tricla confirms availability and informs the Customer of the applicable conditions.

• The booking is only confirmed and effective after receipt of the 50% deposit payment (see 3.5).

3.3 Booking changes

• Change requests must be made by email up to 20 days before the rental start date.

• After that deadline, Tricla cannot guarantee that changes can be made.

• Changes may affect the price (e.g., bicycle model, transport, accessories).

3.4 Payments (payment link)

After availability is confirmed, Tricla will send the Customer a payment link so the Customer can pay and confirm the booking.

Accepted payment methods:

• Bank card (VISA/Mastercard) — the only method that allows split payments (when available)

• Bank transfer

• Cash (when applicable)

Note: the security deposit is not paid in cash, as it is made by credit-card pre-authorisation (see 3.6).

3.5 Payment schedule

• At the time of booking, the Customer must pay a 50% deposit. The booking is only effective after this payment.

• The remaining balance must be paid in full by the rental start date.

• For bookings made less than 20 days before the start date, full payment (100%) may be required at the time of booking.

3.6 Security deposit — credit-card pre-authorisation

• A security deposit of €200 per bicycle is required and must be made by the rental start date; otherwise the booking may be cancelled.

• The deposit is made through a credit-card authorisation (pre-authorisation) and is not an immediate charge.

• After return and inspection, the pre-authorisation will be released unless amounts are due for loss, theft or damage beyond normal wear, or any outstanding amounts. In such cases, Tricla may capture the amount due up to the deposit limit.

3.7 Cancellation policy

• 20% of the amount paid is retained as a management fee and is non-refundable.

• Cancellations at least 20 days before the start date: 80% refund (excluding banking/transaction fees).

• Cancellations less than 20 days before the start date: non-refundable.

• If the bicycle has already been delivered and the Customer cancels, Tricla may charge logistics/return costs (when applicable).

• Refunds will be processed using the same payment method originally used.

• If the Customer shortens the rental after it has started, unused days are not refundable, as the bicycle was reserved for the full initial period.

4. BICYCLES — DELIVERY, INCIDENTS AND LIABILITY

4.1 Delivery and return

Bicycles are delivered assembled, serviced and ready to ride, with the accessories agreed in the booking.

Upon delivery, the Customer must check the general condition of the bicycle and accessories. If any issue or missing item is found, contact Tricla immediately: +351 933 658 008.

Tricla will provide a solution at no additional cost during business hours on working days.

On return, bicycles and accessories will be inspected. If there is damage beyond normal wear, charges may apply, including partial or total deduction via the deposit, as applicable.

4.2 Incidents, damage and theft

Tricla performs preventive maintenance. In case of an incident, the Customer can contact our support line: +351 933 658 008 (support during business hours on working days, unless stated otherwise).

Customer liability

The Customer is responsible for:

• Improper use;

• Damage beyond normal wear;

• Theft/loss of bicycles and/or equipment.

The Customer undertakes to return the equipment in the same condition as delivered (except normal wear). In case of theft, total loss or severe damage, the Customer is liable up to the following maximum amounts (VAT included):

• MOUNTAIN BIKE ADVANCED — €1.399

• MOUNTAIN BIKE STANDARD — €1.199

• TREKKING BIKE (Men/Women) — €980

• GRAVEL BIKE CdF — €1.779

• GRAVEL BIKE CDA — €1.099

• ADVENTURE BIKE — €1.749

• e-MTB — €2.599

• e-TREKKING — €2.799

4.3 Use and care

The Customer undertakes to:

• Shift gears while pedalling to avoid drivetrain damage;

• Keep moving parts reasonably clean and lubricated;

• Store the bicycle safely (locked and secured), especially at hotels/hostels, reducing the risk of damage and theft.

5. DELIVERY AND COLLECTION ADDRESSES

During the booking process, the Customer must provide complete and correct delivery and collection addresses. The Customer must ensure that:

• Delivery and collection locations have a reception open between 09:00 and 21:00, to allow receiving/handing over the bicycles during Tricla’s operating hours;

• At the delivery location, bicycles will be received and stored safely until the Customer arrives; and

• At the collection location, bicycles will be stored safely, accessible and available at the agreed time.

If the booking is entered by Tricla staff, the Customer must review all details. If any error is detected, the Customer must inform Tricla by email as soon as possible.

6. LAW

6.1 Traffic and safety rules

The Customer acknowledges that they must comply with traffic and safety rules applicable in Portugal, Spain and/or other territories, including any legal obligations regarding helmet use and other safety equipment.

6.2 Applicable law and jurisdiction

This contract is governed by Portuguese law. The parties agree to submit to the jurisdiction of the Courts of Porto (Portugal), waiving any other jurisdiction that might apply.
